The Ditio DMS is based on SharePoint online. This allows us to connect directly to the existing (O365) IT infrastructure and organizational structure. In addition, the data and information remain within your own network and as a customer you remain in control of your data at all times.
Searching and finding with online search engines is an integral part of our world. We therefore believe in finding information on content and data. With this we can say goodbye to the traditional (map) structures and let the smart structures do the work.
A clear interface that provides insight into information, workflows and work stock. This can be done over one or more workflows at the same time.
Our DMS is structured in such a way that we can process and circulate project documentation quickly and efficiently. The basis of the Ditio DMS is laid by the experience we have (amply) with Document Control on the large EPC projects from the Oil and Gas industry where process, regulations and cost optimization have reached a high maturity level. We have put this experience in our product and we include it during deliveries and implementation.
Our system and the workflow engine we use enable us to quickly and completely add automation to the processes. Think of approving, creating documents, sending mailings and notifications. Entirely according to your own process.
The system enables your organization to arrange your information creation, collection and storage according to workflow methods. By using these workflows, we can also hook up to various other systems and use solutions such as digital signing. Obtaining data and synchronizing data between various systems is of course possible.
We often see information transferred from party to party for approvals and use. This regularly results in duplicate files at multiple locations, causing substantive deviations. We use the supply chain concept in combination with Single source of truth. In other words, all information but also as many parties as possible in one place. We arrange the rest with Roles and Rights. This allows us, for example, to transfer information without removing the files and data from their place.
Our DMS enables the organization to monitor processes, information and data and documentation through workflow management and control dashboards. This creates grip and can be continuously adjusted.
Work can be managed by means of the work tray system. One of many examples is the queue for quote processing, document approvals or information requests. This can be from a personal level to a complete overview.
We can configure custom overviews with our own onboard dashboard at the request of the customer. This enables you to make timely adjustments based on the latest, current information.
Due to our extensive experience with information management, we already have various workflows and devices available as a blueprint. Especially through standardization for technical (EPC) projects we have a quickly deliverable configuration available. This offers us sufficient building blocks to be able to set up a solution for every type of organization.
