Document Control for Emergency Power Generators in a Data Center Project

Control over documentation during the delivery of critical systems.

Purpose of the project

Ditio is assisting Koninklijke Van Twist with document management for the delivery of a large number of emergency power generators to a major data center project in Germany.

Work is currently underway at the site to build a data center covering approximately 25 hectares. The data center will run entirely on low-emission energy sources and is expected to make a significant contribution to Europe’s digital independence.

When supplying critical systems such as emergency power generators, it is essential that all technical documentation, certificates, and project information be made available to the various parties involved in a timely manner. This requires a structured approach to document management.

By monitoring and organizing document flows, we ensure that all parties—from suppliers to project teams—have access to accurate and up-to-date information. This helps keep the delivery process running smoothly and prevents miscommunication or delays caused by missing documentation.

Challenges and solutions

With a project of this scale, flexibility is essential. Suppliers do not always deliver documents and data according to the original schedule. This can have a direct impact on the installation and handover schedule.

In such situations, our Ditiosi team remains calm and closely monitors the process. If suppliers fail to respond, the matter is escalated as necessary so that bottlenecks can be addressed at the management level. This has already led to the allocation of additional resources and a noticeable improvement in collaboration.

In addition, we ensure clear and structured communication with both internal teams and external parties. This approach helps us prevent minor delays from escalating into major risks and contributes to stable and reliable project progress.

Results

Thanks to the collaboration between Koninklijke Van Twist, Ditio, and the various parties involved:

  • the first emergency generators will be delivered for the first phase,
  • An order has now been placed for the delivery of emergency generators for the next phase,
  • document management becomes more structured and organized.

This has laid an important foundation for the further rollout of the data center project.

What did we learn in this project?

This project demonstrates how important it is to start a project as thoroughly as possible. If preparations are incomplete, delays can quickly arise during implementation.

Once a project is underway, the focus can shift from staying on schedule to catching up on delays. This increases the pressure on the team and makes it harder to maintain control over the process.

Thorough preparation and clear agreements from the outset therefore remain essential for a smooth implementation.
