Accessible intranet and quality manual for a residential care center

For a residential care center for elderly deaf people in Ede, Ditio helped improve internal communication and document management.

The challenge

The organization needed one central place where employees could easily find company information and manage documents in a secure and structured manner. In addition, the environment had to be accessible, visual and user-friendly. Almost half of the employees are deaf and therefore Dutch Sign Language is the working language

The solution

The Ditio Solutions Team designed and built an intranet in Microsoft 365, fully customized for users.
We chose a visual, accessible design with large fonts, clear icons and minimal text so that information is easy for everyone to understand and find.

The intranet includes company news, a facebook and departmental pages with relevant information per team. We also created a bulletin board via Viva Engage on which all colleagues from across the organization can post messages in text or in Dutch Sign Language.

We also developed a quality manual in two separate environments:

  • One for document creation, editing and approval;
  • One for publishing final, approved versions.

The publishing environment is integrated into the intranet so that employees can quickly find the right protocols.
To support this process, we set up two automatic workflows with Power Automate:

  • One for the document approval process;
  • One that automatically sends reminders several days before a document is due for review or revision.

The result

The healthcare facility now has an accessible, clear digital environment where employees can easily find news, colleagues and protocols. Thanks to automation in Power Automate, the management of quality documents is smooth, structured and error-free.

With Ditio's help, De Gelderhorst got an intranet that really works for everyone, clear, secure and accessible!

What did we learn in this project?

At Ditio, we believe that every project teaches us something new. In this project, we learned how important visual communication is in an environment where language development does not come naturally.
By designing for deaf employees, we were challenged to make information truly visual and intuitive, with less text, more images and a clear structure.
